3.05 Release Notes – Exec Team Management
Keeping track of committee details can be quite a headache with multiple versions of spreadsheets being managed by various executives, becoming a problem when executives graduate and move on from their roles. Updating this information and relaying it back to student bodies can be a nightmare to manage, especially if the details are out of date or invalid. With every club going through an AGM process, there is a huge influx of new committee contact details that need to be securely stored and updated which can give rise to certain club compliance issues that stem from laziness (too many processes to store/update/submit details).
We’ve made it easy for any executive team to now record and update these details, straight from their QPay clubs portal. With the ability to add roles, a small and robust CRM can be built for executives that is equally useful to student bodies such as unions and guild when it comes to reporting. Since launching, we’ve already had 28% of our clubs upload details in the first week with positive feedback on the user experience and look!

The update also includes an access level component – with over 7 modules in the clubs portal, the overwhelming suggestion from executives has been to include an ability to allocate different access levels to the various modules of the clubs portal, especially when volunteers are helping out the club for a small period of time (Orientation week). Due to sensitive club information such as sales and settlement data, certain committee members should have limited access so situations like these can be avoided.
To get started:
- Step 1: Clubs can login/register to their clubs account at portal.getqpay.com
- Step 2: Navigate to the club account settings
- Step 3: Click on Exec Team Management
